Plain-language summary

Shared Voice is an educational Ojibwe language-learning app. Students use a first name and an access code supplied by their school or organization. We use student progress and, when a student chooses a pronunciation activity, voice recordings to provide lessons and allow educators to review work and give feedback. A signed-in user can choose to send a bug report with a screenshot and written description; qualifying unexpected errors can also send diagnostic logs to help us fix the service. We do not show advertising, sell student information, or use children’s voice recordings for advertising, profiling, artificial intelligence training, or unrelated purposes.

1. Who operates Shared Voice

Shared Voice is operated by Speczo Inc. (“Speczo,” “Shared Voice,” “we,” “us,” or “our”), an Ontario, Canada company. For privacy questions or requests, contact us at contact@speczo.dev.

2. Scope

This policy describes how Shared Voice handles information in its mobile and web language-learning service. It is intended for students, parents and guardians, educators, and educational organizations that use the service. Student accounts are provisioned by an educational organization; students do not create public accounts in the app.

3. Information we collect

  • Student and access information: a student’s first name; an instructor or class access code; authentication or session information; a student identifier; and the student’s class or organization association.
  • Learning information: lesson progress, completed activities, scores, submissions, and educator feedback.
  • Classroom participation information: a student’s first name, last initial, and avatar may be displayed to other authorized students in the same class.
  • Microphone and voice-recording information: if a student chooses an optional pronunciation exercise and grants microphone permission, the app records the student’s voice response and uploads the audio file to the Shared Voice backend for lesson submission and educator feedback.
  • Push-notification information: a device notification token registered with the student’s session so the service can deliver push notifications.
  • Bug-report information: when a signed-in user chooses to submit a bug report, the user’s written description and a screenshot of the current app screen. A screenshot may show first names, last initials, avatars, class information, lesson progress, submissions, or feedback that are visible on that screen.
  • Diagnostic logs: after certain unexpected or server-side errors, the app automatically uploads an error report while the user is signed in. The report may include an error message and type, API error status, code and response details, a stack trace, platform information, and up to 1,000 recent app-log lines. It may therefore contain technical context and, if included in error or log text, information visible to or entered in the app.
  • Technical service information: technical information needed to secure, connect, operate, and troubleshoot the service, including information handled by the app’s secure storage, connectivity, and service infrastructure.

Shared Voice does not intentionally collect camera data, precise location, contacts, phone numbers, SMS, call logs, or installed-app lists. It does not provide public student profiles, stranger chat, or public posting of student-created content. It does not display advertising.

4. How we use information

  • First names, identifiers, organization/class associations, access codes, and session information are used to identify the appropriate student session, provide access to assigned learning content, and keep the service secure.
  • Progress, scores, submissions, and feedback are used to deliver lessons, record learning activity, and allow educators and authorized staff to support the student.
  • Classroom participation information is used to identify classmates within the student’s authorized class.
  • Voice recordings are used only to submit optional pronunciation work and enable educator feedback.
  • Notification tokens are used to send service-related push notifications.
  • Bug-report screenshots and descriptions are used to investigate, reproduce, and resolve the reported issue, and to maintain the safety, reliability, and security of Shared Voice.
  • Diagnostic logs are used to investigate, diagnose, and resolve unexpected and server-side errors and to maintain the reliability and security of the service.
  • Technical information is used to operate, secure, maintain, and troubleshoot the service.

5. Who can receive or access information

Information is sent to the Shared Voice backend at sharedvoice.ca or the configured production service. It may be accessed by Speczo personnel who need it to operate or support the service and by the student’s educational organization, instructor, or other authorized staff, as appropriate for the educational service.

Shared Voice also uses service providers for functions such as hosting, storage, notifications, security, and infrastructure. The app uses Firebase Cloud Messaging to support push notifications. The service may also rely on Flutter, Android, and iOS libraries for messaging, audio recording, secure storage, connectivity, and opening links. These providers receive or process information only as needed to provide their services.

6. Voice recordings

A child’s voice recording is created only when the student uses an optional pronunciation exercise and the device microphone is permitted. The recording is uploaded to Shared Voice as a lesson submission. The student’s educator or other authorized educational staff may listen to it to review the work and provide feedback.

Voice recordings are retained only under the operational rule in the retention section below and may be deleted through the request process described in this policy. We do not use student voice recordings for advertising, behavioural profiling, artificial intelligence training, or any purpose unrelated to providing the Shared Voice educational service. We do not make recordings public or share them with other students or the public.

7. Classmate names and avatars

Authorized students may see classmates’ first names, last initials, and avatars within their assigned class. This information is used for classroom participation and identification within that class. It is not a public profile and is not available to students outside the authorized class or to strangers through the app.

8. Bug reports and diagnostic logs

Bug-report screenshots and descriptions are uploaded only after a signed-in user initiates and submits a bug report. They are not shown publicly and are not used for educational assessment, advertising, profiling, artificial intelligence training, or unrelated purposes. They are intended to be accessible only to authorized Speczo personnel and the hosting, storage, security, or support providers that need them to investigate and resolve the report. They are not intended for access by other students or for educator feedback.

For qualifying unexpected or server-side errors, Shared Voice automatically uploads diagnostic logs to its backend while a user is signed in. The app does not upload logs for network failures, authentication failures, or other 4xx client errors. In release builds, the app redacts bearer tokens, JWTs, access codes, passwords, cookies, and similarly named credential fields before logs are stored or uploaded. This redaction does not guarantee removal of every item of personal information: names, class or lesson information, submissions, feedback, or other information that appears in free-form error, response, or log text may remain in a diagnostic log.

9. Retention and deletion

We retain student progress, submissions, feedback, and submitted audio only for as long as reasonably needed to provide the educational service to the student and educational organization, respond to a deletion request, resolve support or security issues, and meet applicable legal obligations. When information is no longer needed, we will delete it or de-identify it where appropriate.

Notification tokens are retained while needed to send notifications to an active student session and should be removed or disabled when the session is ended, the student logs out, the token changes, or notifications are turned off. Operational logs and backups are retained only for the operational, security, recovery, and legal purposes for which they are kept, then deleted or overwritten under the applicable schedule.

Bug-report screenshots, descriptions, and diagnostic logs are retained only as long as reasonably needed to investigate, resolve, and document the issue; protect the service; and meet applicable legal obligations. A parent, guardian, school, authorized organization, or the user may request deletion by contacting the school/instructor that provisioned the account or Speczo at contact@speczo.dev. To help us locate the material, the request should identify the student or user, organization, approximate report/error date, and state whether it concerns a screenshot, written report, diagnostic log, or all associated data.

10. Security

Shared Voice uses safeguards designed to protect student information, including secure handling of authentication/session information and controls intended to limit access to authorized people and service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11. Children’s privacy and educational use

Shared Voice may be used by children and is designed for educational use. Educational organizations provision student access and determine which students may use the service. Children are not asked to create a public profile, communicate with strangers, or publish content publicly through Shared Voice.

Parents and guardians do not give consent merely because a child uses the app. The educational organization and, where required, the parent or guardian are responsible for providing any permission or consent needed for the child to use Shared Voice under applicable law and the organization’s policies.

A parent or guardian, or an authorized educational organization, may ask to review, correct, or request deletion of a child’s information, including voice recordings, progress, submissions, and associated feedback. Students should normally begin these requests with their school, instructor, or educational organization because that organization provisioned the account and can verify the request. They may also contact Speczo directly at contact@speczo.dev. We may need to verify the requester’s authority and coordinate with the educational organization before acting.

12. Privacy requests, logout, and account/session deletion

Students can log out of Shared Voice. Logging out ends the device session; it does not by itself delete learning records, recordings, or other information already submitted to the service.

To request access, correction, deletion, or help with an account/session, contact the student’s school, instructor, or educational organization first. A parent, guardian, or authorized organization may also contact Speczo at contact@speczo.dev and identify the student, organization, and request. To request deletion of recordings and associated student data, clearly state that request. We will respond through the appropriate verified channel and coordinate with the organization as needed.

13. Push notifications

Shared Voice uses Firebase Cloud Messaging to deliver push notifications. The service registers a device notification token associated with the student session for this purpose. A student or parent/guardian can disable push notifications in the device’s operating-system settings. Disabling notifications does not delete the student’s learning records.

14. International data transfers

Shared Voice is operated from Canada. Depending on the confirmed hosting, storage, notification, security, and infrastructure providers, student information may be processed or stored in Canada or another country where those providers operate. Information may be subject to the laws of those locations.

15. Changes to this policy

We may update this policy when our practices or the service changes. We will post the updated version at this URL and revise the “Last updated” date. If a change materially affects how student information is handled, we will provide notice in the way required by applicable law and our agreement with the educational organization.
